Summer is just beginning, so Christmas is probably the last thing on your mind. But now is the best time to arrange your Christmas party!
As you can imagine Christmas bookings get filled up quickly, so we recommend you to book early to get the date and venue you want. To make this year’s Christmas party totally unmissable we’ve put together a checklist that’ll help make your night one to remember!
- Set the date
Christmas is a busy period and the busiest time of the year regarding social events. Popular dates are booked early which means it’s best to pencil in your date as early as possible. Popular Christmas dates are usually Fridays or Saturdays just before the Christmas period.
In case you can’t secure your ideal dates, make sure you have a plan B in place if this date is not available at your chosen venue.
- Figure out your budget
Decide how many guests will be at your party, gather up numbers in the office of those who will be attending, and work out the budget for catering, drinks, equipment and venue costs. Allocate the budget for what is most important to your party; the size of the budget will undoubtedly have an impact on the type of Christmas party you organise.
- Choose the venue
Whether you’re looking for somewhere with a riverside view or a large banqueting hall in the City, it’s important to book your venue early. Popular London event venues get booked up quickly so the earlier you book the better. Identify suitable venues that are available for your preferred date, within your budget and a good location for your guests to travel to. Ensure the space is also right for your Christmas party.
- Establish your Christmas Party type/theme
There is so much variety when it comes to organising a Christmas party, and there are many questions to answer while planning your event. Will it be a daytime or evening event? Is the venue offering a particular package? Is there a theme you’d like for your Christmas party? Make a list of things associated with your chosen theme and then check with your venue as they might offer a special package and theme for you and your guests.
- Plan food and drink
Catering is an important part of any party and like everything else, the earlier you plan the better options you’ll have. You will need to decide what food is best for your party. Will a seated traditional Christmas dinner do? Or maybe you’d prefer a Christmas party buffet? Choose a menu and food style for the event, incorporating the theme where possible, insist on a menu tasting, particularly if you are booking for a large group. Once you are completely happy with the menu get it all confirmed with the venue.
Decide what drinks will be served at the party. Will there be drinks on arrival? If so, what drinks ? Festive favourites include Winter Pimm’s, mulled wine and Christmas cocktails.
- Book entertainment
There’s no better time to have great entertainment than during Christmas and it can be the most memorable part of the event. Entertainment helps to create a fun party atmosphere and brings everyone together. There are so many options available from live bands or karaoke to pop-up photo booths: the options are endless. Check with your venue and choose entertainment that will suit your event.
- Send out invites!
A party isn’t a party without guests! So send out the important details for the party, get invitations designed to fit your theme either printable or an electronic version that can be sent to your guests. And don’t forget to tell your guests to RSVP as soon as possible, and in the instance numbers change you will be able to let the venue know as soon as possible.
